Business Manager — Application Deadline 12/15
The Business Manager provides management and oversight for the following Business Office functions: budgeting, financial reporting, payroll, purchasing, receivables, payables, cash management, financial aid, human resources, and building and grounds. This position is a full-time salaried exempt position, reports directly to the Head of School and works closely with the Finance Committee of the Board of Trustees.
PRINCIPAL RESPONSIBILITIES:
- Perform general accounting functions, including processing accounts receivables, account payables, cash management and payroll (including bi-weekly tax deposits and quarterly and annual tax filings)
- Maintain orderly records of financial transactions inclusive of endowment for year-end analysis of general and restricted dispersals
- Verify, allocate and post details of business transactions to appropriate accounts in accounting system
- Post month-end closing processes, including journal entries, bank reconciliations, endowment, department budget reports and financial statements
- Lead the preparation of the annual budget with the Head of School
- Prepare regular and ad hoc financial reports for various committees as needed
- Serve as staff liaison to the Finance Committee to monitor operating budget and provide financial analysis to support the financial sustainability of the school
- Generate tuition contracts, billing statements and invoices
- Monitor A/R aging and communicate with delinquent account holders
- Manage financial aid process, including evaluation of applications using School & Student Services (SSS), tax returns, compilation of data for the financial aid committee, record keeping, award notification and follow up
- Work collaboratively with the Director of Development on EITC/OSTC, grants and other funding sources. Submit annual reports to DCED to maintain approved organization status
- Prepare annual faculty contracts, maintain personnel files, PTO, employee clearances and unemployment compensation reports
- Manage enrollment and administration of employee benefits (health, dental, long term disability and retirement)
- Maintain vendor contracts and certificates of liability insurance
- Prepare and organize financial records for annual audit, Form 990, and Form 5500 (retirement)
- Assist in oversight of major building repairs and improvements in alignment with capital reserves budget and annual building inspection by property manager
- Maintain files for all property, casualty and liability insurance for the school
- Work with the Leadership Team to evaluate and support the Strategic Plan
- Other accounting-related tasks and projects, as assigned, in order to meet the school’s financial objectives
QUALIFICATIONS:
- Associates Degree in business, accounting or minimum of three years relevant experience
- Work experience in non-profit or independent school accounting preferred
- Proficient in the following software: QuickBooks Pro, Microsoft Office, SSS (financial aid program), DASL (formerly NAIS Stats-on-line)
